Inventory management for small businesses: method and tools
Stockouts, overstock, endless stocktakes: simple, regular inventory management avoids most of these losses. Here is how to go about it.
Why stock costs more than it seems
An out-of-stock product is a lost sale and sometimes a customer who never comes back. Too much stock ties up cash, takes up space and risks loss or expiry. Good inventory management looks for the right level in between.
The basics of a simple method
You do not need a complex system to start. A few rules already change everything:
- one record per item with a unique reference
- a minimum level that triggers reordering
- every receipt and issue recorded when it happens
- regular, even partial, stocktakes rather than one big annual count
Barcodes: an instant time saver
Scanning an item instead of looking it up in a list reduces mistakes and speeds up stocktakes. A simple phone can act as a scanner; a handheld scanner remains faster for large volumes.
Connecting stock to sales
The biggest source of errors is double entry. When the POS or the online store updates stock automatically with each sale, the number on screen finally matches what is on the shelves.
Spreadsheet, off-the-shelf or custom?
A spreadsheet is enough for a few dozen items. Beyond that, dedicated software quickly pays off. Custom software makes sense when your products or processes do not fit the mold (special units, manufacturing, several locations) or when it must connect to your existing tools.
